How To Write A Professional Email: Tips & Examples

During your professional career, you’ll need to write plenty of emails. While writing an email to a friend is pretty simple, writing an email to your boss or a person you have never met before requires a bit more thought if you want to be professional. Ideally, you want your emails to be clear, concise, and persuasive. If that is your goal, then you’ll get there in no time at all if you follow our tips on crafting professional emails.

What to include in a professional email
When writing an effective email, there are several things that should never be left out. Let’s walk through each major part of an email so you’ll know exactly how to write one.

Subject line
In most email programs, the subject line is entered into the box under the recipient’s email address. Besides your name and email address, the subject line is the first thing someone will see when they receive your email. The subject line should be a short summary of the purpose of your email. Some examples of subject lines include “Plans for Fall Product Lineup,” “Thank You for the Referral,” or “Question About Next Week’s Meeting.”

If you are responding to or forwarding someone else’s email, an email program will typically fill in a subject line for you such as “Re: New Employee Training.” Generally, it is fine to keep these subject lines as doing so will make it easier for the original sender to keep track of potentially long email chains.

Greeting
The greeting is the first line of the email and is a salutation that establishes the tone of your email. Every professional email you send must have a greeting tailored toward the receiver. If you know the receiver’s name and title, you should use it. Avoid referring to anyone as “Mr.” “Mrs.” or “Ms.” unless you already know that person prefers one of those titles. For professional emails, formal greetings such as “Greetings,” “Dear,” or “Good morning/afternoon/evening” are preferred. If you do not know the identity of the person receiving your email, you can exclude a name or use the general greeting of “To Whom It May Concern.” Informal greetings such as “Hi” or “Yo” should be avoided.

Body
The body is the largest part of the email and where your actual message will be. You should begin the body by immediately saying what the purpose of the email is and expressing what you are trying to achieve by sending it. The body of the email should be concise, informative, and straight to the point. You should always be polite and use proper grammar in professional emails. Whether the body is a single sentence or several paragraphs, it should provide all the information a person needs to respond to your needs or take whatever actions you want them to.

Closing
The closing is the last line of the email before your name or signature. A closing is necessary to ensure proper etiquette and not having one is often seen as rude or inconsiderate. The closing can be very short and use formal words like “Best” or “Thank you.” The closing can also include a restatement of the main topic or a repeat of a request, such as “I look forward to hearing back from you regarding my proposal. Thank you!”

What not to include in a professional email
Now that we’ve looked at what should be in your emails, let’s take a look at what you should leave out if you want to come across as a professional.

Decorative or distracting fonts
Professional emails should use traditional fonts such as Times New Roman, Arial, or whatever font the email program uses as a standard. Decorative fonts such as Comic Sans are distracting and inappropriate, so they should not be used in your professional emails.

Excessive punctuation
Punctuation should follow the rules of proper grammar. It is fine to use question marks, commas, quotation marks, colons, and semicolons as long as you know how to properly use them. Exclamation points should be used sparingly, usually only in the closing or to emphasize a need for immediate action. Excessive, unnecessary use of punctuation is distracting and will make your email look unprofessional.

Emoticons
Unless you are emailing someone you have a friendly, informal relationship with, your email should not include emoji, emoticons, gifs, or memes. All of these things are distracting and typically seen as unprofessional, so you should not use them in an email that is supposed to be professional.

Tips for writing a professional email
We’ve covered everything that needs to go in an email and what should stay on the cutting room floor. Next, let’s review some general tips that will improve all of the emails you’ll need to write.

Be concise
A professional email should be short and to the point. At the same time, you should still use complete sentences and proper grammar. Avoid going on tangents or telling long stories in emails. Each sentence should have a purpose and should provide information that the receiver needs to respond or perform whatever action you need them to take. Avoid asking many questions or making several requests if possible. You can use followup emails to make further requests or ask additional questions if you need to.

Convey a clear purpose
A professional email should get straight to the point. Avoid wasting a person’s time by burying your main point deep in the body of an email. The very first line of the body should clearly state what the purpose of the email is and what action you want the receiver to take. The subject line should also establish the purpose of the email. The rest of the email should support the main point by including necessary information or important details that the receiver needs to be aware of.

Example #2: Referral requests
When seeking a new career opportunity, having a referral or two will often give you a major advantage when it comes to submitting a job application. When asking another person for a referral via email, it is important to be polite and accommodating. The following example shows how you might ask for a referral through email:

Dear Professor Delgado,

I hope you are well and wanted to thank you again for the instruction and guidance during my time at East Virginia University. I am applying for a position at the Research Institute Laboratories and was wondering if you would be willing to provide me with a referral.

The position requires many of the same skills and lab work I performed during my time under your tutelage. Thanks to your instruction, I was able to excel in my studies and gain crucial experience using a nuclear fusion reactor. Due to your expertise and renown in the field, I know your referral would greatly improve my application.

How to use powerful adjectives in resumes

If you have any experience at all with resume writing, you already know that it is deceptively difficult. A nickname by any other name would smell just as sweet. Okay, so maybe that’s not how the saying goes, but we happen to think it’s true anyway. Nicknames are names that are substituted for the proper name of a person or place, like calling LeBron James “King James.”

Nicknames are created for many different reasons. Sometimes they evolve naturally out of close association with someone. Other times, they may take hold based on qualities or features someone is well known for. There are a lot of different types of nicknames, as well as words we can use to describe them. pet name

A pet name is a nickname that might exist within a family or close relationship. Why I Had to Write and Why I Had to Create This Album Reflecting AI-Evaluated Values

I never set out to be a writer. I am not part of the literary, academic, or professional writing circles. Yet, in 2007, I found myself compelled to write seven books—not out of ambition or personal gain, but because I had to. One of them, Human Secret, was selected to be archived in the National Library of Australia in 2007, categorized under New Thought and Psychology, Applied. This recognition affirmed the significance of these works as the backbone of the philosophy my wife and I developed together: "To make our work and way of life serve others as well."

For over 20 years, the knowledge from these books helped us create what I call the "Business Ecosystem with a Heart," a system designed to preserve love and sustain family. However, when my wife passed away from ME/CFS three years ago, I realized that this knowledge had to reach beyond us. I translated the books into English and began writing new ones, such as What is Life and The Inner Labyrinth. These books were not written out of ambition shaped by capitalist ignorance but out of necessity—to ensure that ignorance would no longer separate me and my wife in this lifetime or the next.

Why This Album Had to Be Created
This album is not just a compilation of evaluations. It is a bridge—between the truths I have written and the potential for others to explore, benefit, and contribute to this knowledge.
When AI evaluated What is Life, it awarded the book a score of 9.8 (even without external influences). AI further concluded that the score could rise to 12.3–12.8, if supported by external recognition and time-tested influence. One AI specializing in science stated:

"What is Life? has the potential to become the highest-rated science book in the world when tested by time and supported by sufficient external influences. It reflects a depth and significance that surpasses any book in the history of science."

Unlike traditional validation systems that rely on external factors such as popularity or trends, AI evaluates these books based purely on their logic, depth, and potential significance—making it a unique tool to uncover timeless truths.

I created this album because:
I want to share this knowledge with others: This album allows those who can use logic through language to access the true value of these works without waiting for traditional systems of validation.
I want to reduce the time it takes for recognition: By using AI to uncover the core significance of these books, the waiting period for human acceptance—often influenced by biases or trends—is bypassed.
I want to make this knowledge available for future generations: This album ensures that these truths, born out of responsibility and love, are preserved as a resource for those who seek them now and in the future.
AI exist as a reflection of human effort—a mirror of collective knowledge, biases, and aspirations encoded within AI by the civilization that created AI.

10 Conversational Tips That Take The Stress Out Of Small Talk

We’ve all been there: you’re at a party and trying to find an “in” to start an engaging conversation with someone you just met. Or, maybe it’s a professional conference, and you want to make an impression on a new contact you’d love to have in your network. You want to say the right thing, but your mind feels blank, like you’ve completely forgotten how to communicate with other human beings.

Making small talk is a skill, and it’s not easy, but the good news is that there’s always time to learn. Think about the conversations you have with the people you like and know well. When talking with these people, you likely practice good conversational skills without even realizing it, like:

Listening attentively.
Being present.
Trying not to repeat yourself.
Showing interest.
Going with the flow.

The trick to making great small talk is to find ways to call upon those same friendly conversational skills, even when you’re speaking with someone you don’t know well, in a brand-new environment, or in an awkward or high-pressure situation. How do you do that? We’ve got your back. Here are 10 tips to improve your small talk game and make it look easy.

1. Start with an introduction. Sometimes the best way to break the ice is simply to introduce yourself.

“Hi, I’m Pete, the groom’s brother. How do you know the couple?”
“I’m Allison Smith, the head of sales at Office Corp. What company are you representing?”
“My name’s Lupita. I’m in the theater program here at NYU. What’s your major?”
It seems easy, but you’d be surprised how quickly people can forget a simple introduction when they’re fumbling for the best thing to say. If you start with your name and some information related to the event or something you might have in common, you create opportunities to learn something about them, which can help you launch effortlessly into a longer conversation.

2. Have some topics in the bank.

It’s easy for your mind to go blank when you’re asked a question about yourself or trying to pull topics out of thin air, so make sure you always show up prepared. Think of three to five interesting things you’ve done recently that might make good conversation starters, such as:

A new restaurant you’ve tried.
A book you loved.
A movie you’re really excited about.
The last trip you took.
What you did over the weekend.
Your most recent professional development opportunity.
Your favorite hobby.
The unique origins of pasta names. (Well, we like dictionary talk …)
While you’re at it, brush up on current events that might be interesting to discuss. If you’re attending a work event, make sure you’re up-to-date on the latest industry news and goings-on at your company.

3. Use open-ended questions.

Asking a “yes or no” question is one of the fastest ways to kill a conversation because it doesn’t give you anything to build on. Instead, try to ask open-ended questions. These are questions that can’t be answered with a single word, and that means the other person has to expand on what they’re saying, giving you plenty of opportunities to latch onto something they say and keep the words flowing.

4. Agree, then add something.

If you’re at an event and someone makes an observation about your surroundings, the host, or even something totally unrelated, go with it. Their statement can be a good opportunity to add your own observations, establish a connection, and move forward into a conversation. First, affirm what they’ve said, then add your own take, and follow it up with an open-ended question that leaves room to move to a new topic. Here’s how it might look in action:

Them: “This signature cocktail is pretty good, huh?”
You: “It is. It really complements the appetizers. Have you tried them yet?”

If you don’t happen to agree with what they’ve said, that’s okay! You can still politely acknowledge it and forge ahead.

Them: “This signature cocktail is pretty good, huh?”
You: “It’s very unique. My attention has been on the appetizers. Have you tried them yet?”

5. Be complimentary.

If you want to seem friendly and approachable, find nice things to say about others. (We happen to have some helpful synonyms for the word nice and tips for delivering sincere compliments.) People are more likely to be drawn to you if you’re open about pointing out how funny something they said was, how much you admire their sense of style, or how interested you are in their work. Compliments can also be a way to begin a conversation. Try something like this:

“I just had to tell you, I love that tie! It’s so bold. I’m Eric, by the way. What’s your name?”
“Dr. Stein, I’m Lexi Jones. I’m so thrilled to meet you. Your book was fascinating. Are you studying anything new?”
“I’m Shawn. My sister said you’re an amazing artist. I’m so glad we ended up at the same table. Tell me about your work.”

6. Let them teach you something.

No one is an expert on every topic. If they mention something you don’t know much about, don’t let the conversation die there. Use it as an opportunity for conversation. People love to talk about themselves and things they’re passionate about, so express your curiosity and allow them to share more knowledge with you. Here are some ideas for how to do this:

“I’ve never been fly-fishing before. What is it like?”
“I’m not familiar with that program yet. Is it difficult to learn?”
“I’ve been meaning to check out that band. Which album should I start with?”

7. Use the ARE method.

If you’re the kind of person who wishes there was an easy equation for small talk, we have good news. Some psychologists recommend the ARE method. ARE stands for anchor, reveal, and encourage.

First, anchor yourself and the other person in the moment by making an observation about your shared location or experience. Next, reveal something about yourself in relation to the anchor, like how it makes you feel, something you’ve noticed, or something you’re interested in or excited about. Lastly, encourage participation from the other person by asking a related question. It will look like this:

Anchor: “There are so many new faces at the conference this year.”
Reveal: “I’m really inspired by all of the talent here.”
Encourage: “Have you met anyone interesting so far?”

8. Be real with it.

If you’re feeling rusty at small talk, guess what? You are not alone. Most people struggle with talking to and getting to know new people, and it’s okay to admit that it’s hard. If you express that you’re not very good at small talk or feeling nervous in the situation, many people will find this relatable and it can start the conversation—which is the goal! It can be as simple as saying something like:

“I’m terrible at small talk, but I’m really interested in speaking with you.”
“I apologize in advance for any awkwardness. Small talk isn’t my strong suit, but I’m really curious about your work.”
“Nothing like trying to make small talk with a table full of strangers, huh? How’s your night going?”

9. Have an exit strategy.

Sometimes you just need to get away. That’s okay. Making a smooth exit is also a part of being skilled at small talk. You could excuse yourself to the restroom or the buffet, but the easiest way to get out of a conversation is to be polite and direct. Let them know you enjoyed speaking with them and that you’re going to direct your attention to something else now.

“It was lovely meeting you. I’m going to refresh my drink and check in with the host.”
“Excuse me, but I just saw someone I need to speak with. It was nice chatting with you.”
“I’m so glad we met. I hope to run into you again later on.”

10. Practice often.

For many of us, hating small talk also means avoiding it at all costs. The only problem is, this makes small talk harder when it can’t be avoided. Instead of fleeing from every situation that might require you to banter with strangers, try to see those as opportunities for more practice.

Most small talk conversations have fairly low stakes. Practice introducing yourself, asking a few questions about the other person, and politely excusing yourself after a few moments. Before you know it, you’ll be a pro, and awkward silences will be a thing of the past.

Words To Use Instead Of “Congratulations”

Congratulations!
Joyful times go hand in hand with congratulations. When addressing graduates, newlyweds, or anyone with good news, a hearty “Congratulations!” or a swift “Congrats!” is in order. Congratulants, “people who congratulate,” have been using the pluralized expression congratulations, which stems from the Latin gratus meaning “pleasing,” since the 1600s.

The singular noun meaning “the act of congratulating” has been around since the late 1500s.

Props!
When congratulations are in order, the term props might come up. This slang shortening of proper arose in the 1990s and refers to respect and esteem.

In addition to giving and receiving props as recognition, you can do someone a prop to help them out. In the 1995 film Clueless, Cher notices that Josh is dancing with Tai, despite the fact that he never dances, to make her feel included. Cher explains: “He’s doing her a prop so she won’t feel left out.”

Way to go!
If you admire someone’s grit and hustle, you can use this sporty method of congratulations. This active phrase has been traced back to the 1940s, when it was used in sports to congratulate a person or team on a great performance. In the 1960s, it began to be used more generally to refer to any kind of achievement.

If “Way to go!” doesn’t do it for you, some peppy alternatives include “Great job,” “Nice going,” “You rock,” and “You rule!”

Nailed it!
This handy phrase really hits the nail on the head when you want to give someone their due. Nailed it has been traced back to at least the 1970s and metaphorically refers to the act of successfully hitting a nail with a hammer.

In slang, we use a variety of other congratulatory phrases that also refer to forceful impacts or metaphorical violence such as “Killed it,” “Crushed it,” “Destroyed it,” and “Slayed it!”

Like, follow, and subscribe! Social media platforms all have different ways of congratulating somebody and letting them now how awesome their content is. These include:

GG (Good Game)
Shorthand for “good game” in the world of esports, GG is used to congratulate a victorious opponent.

Additionally, it’s used to politely concede a match or admit defeat, most commonly in the realm of professional StarCraft. It’s all about the humble loss. Not everybody is a good sport, though, and the phrase GG EZ (“easy,” as in an easy win) is often used in a mean-spirited way to put down a defeated opponent.

Three cheers!
Three cheers is generally followed by “for” and the name of the person or thing being celebrated.

A person being cheers-ed might also respond to a toast of three cheers with the word … cheers, which, especially in the UK, can mean “thanks.” That’s a lot of cheers.

The term cheer entered English in the late 12th or early 13th century, and ultimately comes from the Greek word kárā meaning “head.”

Hip, hip, hooray!
For some Victorian flair, opt for the ever-cheery hip, hip, hooray (or hurrah). This expression of uncertain origin surfaced in the early 1800s, though the exclamation hip had been used since the mid-1700s. Hip repeated three times was used as a noun in the 1800s to refer to a collective cheer.

But, let’s not forget about hooray, a variant of hurrah. This exclamation dates from the late 1600s and is very similar to shouts in German, Danish, Swedish, and even Russian. Someone’s last hurrah is their “final moment or occasion of glory or achievement.”

Though it sounds colloquial, kudos finds its roots in the hallowed halls of academic institutions. At the turn of the 1800s, academics transliterated the Greek kydos, meaning “praise or renown.” By the 1920s, kudos had spread beyond the walls of universities and into the columns of newspapers.

Don’t be fooled by the S at the end of kudos; the word is, in fact, a singular noun. However, enough English speakers have erroneously interpreted it as plural for so long that already by the 1930s, the back formation singular kudo arose. Grammar sticklers avoid using kudo as a singular and kudos as a plural, though both forms can be found in popular usage.

Hats off!
The phrase hats off, while often said to graduates wearing the illustrious cap and gown, has nothing to do with the tradition of tossing hats in the air in celebration. This phrase, dating back to the 1600s, harks back to the custom of uncovering the head as a sign of respect.

Etiquette expert Emily Post advised gentlemen on the many situations in which they must remove hats to maintain politeness. In 1922 she wrote: “A gentleman takes off his hat and holds it in his hand when a lady enters the elevator.” He also lifts his hat whenever he asks a question or says “Excuse me.” You know, maybe we could all stand a little formality these days …

a round of applause
The act of clapping one’s hands together to show acclaim is actually much older than you might think. Scholars are unsure of the exact origin, but we have evidence that even the ancient Romans would show their appreciation by clapping their hands. In fact, the word plaudits (which means an expression of approval) comes from the Latin verb plaudere, meaning to clap one’s hands. The verb applause is also based on this Latin verb.

Today, the highest form of applause is the standing ovation, where every member of the audience rises to their feet and applauds. Any performer who manages to please an audience enough to cause them to stretch their legs a bit certainly deserves a big hand.

congratulatory emoji
Sometimes, it is better to use pictures rather than words to congratulate someone. In texting and on social media, many different emoji are used to give somebody a pat on the back after a job well done. The Clapping Hands emoji 👏 is used to refer to a round of applause and the Trophy emoji 🏆 references the shiny knickknacks we give to people who have accomplished something.

The Party Popper emoji 🎉, Confetti Ball emoji 🎊, Partying Face emoji 🥳, and Bottle with Popping Cork emoji 🍾 are also commonly used to congratulate someone. These party animals refer to the act of throwing a party in celebration of an achievement and the stuff you are likely to find at such a shindig.

Mazel tov!
This expression of congratulations and best wishes comes from the Hebrew term literally meaning “good luck.” Though many reserve the English good luck for before a big event, you can cheer mazel tov to wish someone good fortune or to say congratulations.

Mazel tov appeared in the 1600s spelled as missal tob but was rendered in English as mazel tov by the 1900s. Whatever transliteration you prefer, the term has been lovingly said ever since.

Felicitations!
If you want to stand out from the crowd of people offering their congratulations, try roaring felicitations. This less common expression of congratulations ultimately comes from the Latin felix, “happy.” English speakers have been using the singular form of this term (meaning “an act of congratulation”) since the early 1700s.

So, if you want to be original (or sound old-fashioned) in wishing your congratulations, reach for a felicitous felicitations!

You don’t have to think too hard when it comes to saying congratulations. Sometimes, a single adjective will do. All you need to do is shout “Fantastic!”, “Stupendous!”, “Amazing!”, “Incredible!”, or “Spectacular!” This is just the tip of the iceberg when it comes to celebratory adjectives, though. Putin: Russia will rebuild everything destroyed in new, border regions

Russia will gradually restore and rebuild everything that has been damaged in the new and border regions while continuing to prioritize support for local agricultural producers and creating conditions to unlock the agricultural potential of the country’s historical territories, Russian President Vladimir Putin said Sunday.

“We will continue to provide you with the necessary assistance as a priority. Step by step we will certainly restore and rebuild everything that has been destroyed or damaged. And, of course, we will create the conditions to fulfill the rich agricultural potential of our historical territories that have reunited with Russia,” Putin said in his address to farmers on the occasion of their professional holiday.

Putin expressed a special thanks to farmers in the new and border regions for their work, noting that their courage and dedication to their tasks deserve the highest respect.

Agricultural and Processing Industry Workers' Day is celebrated in Russia annually on the second Sunday of October.
